Dashboards are documents that present the most important information about a subject on a single page. Microsoft SharePoint is a web application platform launched in 2001 as a centralized replacement for multiple web applications and supports various combinations of company website requirements. The Microsoft SharePoint dashboard is a Microsoft SharePoint platform feature that collects data from other systems and displays them in browser-based locations.

Primary performance indicators

The key performance indicator (KPI) is the measurement of key factors of organizational success. KPIs are often established at department level to achieve organizational goals. To be successful, KPI should focus on specific, measurable, and clearly communicated metrics. SharePoint Dashboards are ideal for displaying KPI status, as their quantitative data can be drawn from various systems and provide a graphical summary of what is stored in quantifiable data systems. The SharePoint dashboard is not intended to replace proprietary systems.

SharePoint Dashboard Data Source

SharePoint Dashboards are of course aggregated data stored in any Microsoft SharePoint edition. SharePoint 2010, SharePoint Foundation, WSS, and MOSS are examples of widely applied SharePoint editions that graphically display data stored in the SharePoint document library and list. Data can be configured in various views and chart types with standard and custom features.

Examples of other systems from which the SharePoint dashboard can retrieve data include:

Customer Relations Management System

Customer relationship management (CRM) systems allow organizations to record and manage their interactions with customers, vendors, sales leads, and other contacts. Primary contact information such as email address, phone number, and company website and history and communication records are examples of information normally stored in CRM systems.

Commonly used CRM systems include Act !, GoldMine, Microsoft CRM, and Salesforce.

Enterprise Resource Planning and Accounting Systems

Enterprise resource planning systems (ERPs) use integrated software applications to combine organizational information cross-functionally for use throughout the organization. The accounting system is responsible for reporting the organization's financial information.

Examples of ERP and Accounting systems include Microsoft Dynamics, Oracle Financials, Peachtree Accounting, QuickBooks, and SAP.

Marketing resources and social media

The organization's marketing resources aim to identify, communicate with, and deliver value to its customers. Social media resources use web and mobile based applications to promote the exchange of user-generated content.

Popular Social Marketing and Social Apps include Facebook, Google Analytics, Internet Marketing, and Twitter.

Comparing Dashboard Options

Automatic Aggregation

Excel

Many organizations use Microsoft Excel as a tool to collect data. This data is usually inserted into the spreadsheet manually.

SharePoint

Microsoft SharePoint can automatically collect data from multiple systems and store data in a central browser-based location. Each browser-equipped device can then view the data.

Third party tools

Third-party software components also offer automatic collection and display of data. Some tools are enabled for browsers, but most require installing software on a user's computer.

SQL Server> SQL Server Reporting Service (SSRS)

The SQL Server Reporting Service provides an easy-to-use tool for formatting and reporting data stored in SQL Server databases.

Manual aggregation

Whiteboard

Many organizations choose to manually display the progress of their internal goals on the board. Posting them in a central location allows all team members to monitor progress. The manual method requires one or more members to continuously update the whiteboard with timely data. This is a simple dash approach, but it's often quickly out of date.

Graph paper

Simply printing a dashboard graph on paper and displaying it in a central location can have a positive effect on the internal purpose. The process of making and posting a paper dashboard manually, however, can be complicated to be maintained on a regular basis. It's also a simple dash approach that often gets out of date quickly.

Promote dashboard use

There are several strategies to promote the use of dashboards and simplify internal acceptance of practices.

Automate data collection

Real-time results enable team members to keep track of recent data and focus on achieving internal goals rather than creating a manual dashboard. Although time should be spent up front to organize dashboard automation, automating data collection will likely save you time in the long run.

Celebrate victory

Announce the achievement of departmental goals encourage the team to stay on track and move forward towards the desired organizational goals. Viewing regularly posted results on the dashboard also provides teams with the motivation to reach the target audience and see how their actions directly contribute to the achievement of goals.

Involve key stakeholders

Ensure that key stakeholders are involved in the decision process to establish the key Performance Indicators used in setting goals. This will motivate them to gain their team and offer better opportunities for broad organization adoption. Care must be taken to limit the number of KPIs tracked by any department to less than ten. If everything is important, there is nothing.

Make it easy to share the results

Showing results in a transparent and accessible location. This will allow team members to see how their work affects progress toward organizational goals. SharePoint is one of the easiest and most effective tools to share dash results because it is browser-enabled and can be accessed from any browser-equipped mobile device. The dashboard displayed on the LCD screen is also very effective for sharing results.
